Who else is going? Can I see the group before I commit?

Accepted Answer

Every edition is curated to 14–17 people across professions, cities, and stages of life — never 14 from the same industry. Once you confirm, you get an anonymized cohort snapshot covering roles, cities, and why each person is coming. The full WhatsApp group goes live around 30 days before departure. Median age is typically 28–38; gender ratio targets 50:50 within applicant-pool constraints. If a destination skews younger or older, the edition page says so.

What's actually included in the price?

Accepted Answer

Stays, on-ground transfers, curated experiences, breakfast and one other meal a day, and the host being with you for the whole edition. Not included: flights, visa fees, alcohol, and meals on free evenings. The exact inclusions/exclusions split is in the two-column section on each edition page. No surprise add-ons at checkout.

Question 3

What happens to my money if I cancel?

Accepted Answer

Cancellation outcomes depend on your edition's category and how close you are to departure. In the early window you receive 90% as ExCo Wallet credit (or 80% as a bank transfer if you've paid ₹50,000+); in the late window 50% wallet (or 40% bank). A flat ₹7,000 administration fee applies. ExCo Wallet credit is valid at full value for 12 months and is transferable to a friend or family member once. Wallet credit cannot be converted to cash. Insurance premiums and third-party costs already incurred remain non-refundable.

How does the deposit and payment work?

Accepted Answer

A 10% deposit at booking locks your spot — this applies across all edition categories (Visa-Heavy, Mid-Adventure, and Easy-Visa / Domestic). The remaining balance is split into scheduled payments based on the category's payment timeline, with the final payment due before the edition's cut-off. The exact schedule is shown above the deposit button on each edition page. You can pay by UPI, bank transfer, debit card, or credit card.

How do you actually pick people for an edition?

Accepted Answer

We're not picking the “best” applicants — we're building a room that works. Range across professions, life stages, and intent matters more than credentials. We read every application. The lens is simple: would this person make the group better, and would the group make this person's edition better.

Question 6

Can I bring my partner, friend, or sibling?

Accepted Answer

Yes — both of you go through the same curation flow. The group balance matters more than the headcount, so we apply the same lens to your plus-one. Often both get in. Sometimes only one of you is the right fit for that specific edition, in which case we'll recommend a different edition for the other. Spot transfers between friends or family aren't allowed directly — the original booking has to be cancelled first, and any wallet credit can then be used toward a new booking.

Question 7

Can I move my dates if I can't get leave approved in time?

Accepted Answer

Edition dates are fixed — the host, the cohort, and the on-ground vendors are all locked. Edition transfers are not permitted directly. If your plans change, you'll need to cancel your current booking and use any eligible ExCo Wallet credit toward a new booking. The credit is valid at full value for 12 months.

How much does an edition cost? Is the price on the page final?

Accepted Answer

The number on the edition page is the all-in program fee for what's included — stays, on-ground transfers, curated experiences, breakfast and one other meal a day, and the host. Flights, visa fees, alcohol, and meals on free evenings are excluded. GST applies where relevant; checkout shows the final number. Editions priced in USD/EUR/JPY may convert at the prevailing rate when each scheduled payment is processed; once a payment has been processed it isn't retrospectively adjusted.

Japan — Which airports should I fly into and out of?

Accepted Answer

Arrival and departure airports are fixed for this edition (check your booking confirmation for exact airport codes/names tied to IDs 66f3eb3b... and 66f3eb51...) — typically this routes through Tokyo's Narita or Haneda. Try to land within a few hours of the group's arrival window so you don't miss the welcome meetup on Day 1.

Japan — What exactly is included vs excluded in the edition price?

Accepted Answer

Included: all listed activities (Team Lab Planets, Nara day trip, Mount Fuji excursion, calligraphy class, Osaka street food crawl, and more), stay, and internal trip logistics. Excluded: international flights, visa fees, airport transfers, personal meals/drinks/shopping, and any add-on or solo excursions you choose beyond the core itinerary.

Japan — Will I have WiFi/data throughout the trip?

We recommend grabbing a local SIM or pocket WiFi at the arrival airport — costs around JPY 3,000-5,000 for an 8-day unlimited data plan. Most hotels and cafes also have free WiFi. Since the group moves through Tokyo, Kyoto, and Osaka, having your own data really helps for maps and translation apps.

Japan — How do we get around Tokyo, Kyoto, and Osaka?

Accepted Answer

Mostly by train and metro — Japan's public transport is famously punctual and easy once you get the hang of it. Group activities include transport logistics, but for self-explore time, an IC card (Suica/Pasmo) works across all three cities for trains, buses, and even vending machines. Loading JPY 3,000-5,000 at a time is usually enough for a few days.

Japan — What happens if there's an emergency during the trip?

Accepted Answer

Every group has a dedicated trip captain reachable 24/7 during the trip, and ExCo has a local emergency support line active throughout. Japan's own emergency numbers are 110 (police) and 119 (ambulance/fire) — English support is available on these lines. Keep your hotel's address card (given at check-in) on you at all times for translation help.

Japan — What's the weather going to be like in October?

Accepted Answer

Expect autumn weather — daytime highs around 20-23°C, dropping to 12-15°C at night. Kyoto might feel slightly cooler than Tokyo/Osaka. Rain is possible but usually brief. It's a gorgeous time to visit with early autumn colors starting to show, especially around Nara and Kyoto.

Japan — How fit do I need to be for this trip? It's rated activity level 4.

Accepted Answer

This trip involves solid daily walking — think 12,000-18,000 steps some days between Shibuya, Sensoji, and the Nara day trip, plus stairs at Kiyomizu-Dera and a full day out at Mount Fuji. No technical trekking, but decent stamina and comfy shoes are a must. If you can walk briskly for 45-60 mins without trouble, you're good.

Japan — Is alcohol part of the trip, and can I skip it?

The Shinjuku Izakaya Crawl involves a bar-hopping experience where drinks are available, but nothing's forced — you can order mocktails, soft drinks, or just enjoy the vibe. Japan's drinking age is 20, and things stay chill and safe even late at night.

Japan — I'm vegetarian/vegan — will I survive food-wise in Japan?

Accepted Answer

It takes a little planning but you'll be fine. Japan isn't very vegetarian-friendly by default (dashi broth made from fish is everywhere), but Tokyo, Kyoto, and Osaka have dedicated veg/vegan restaurants and we'll flag good options during the Osaka street food crawl and Izakaya night. Let your trip captain know your preferences on day 1 so meals can be adjusted where possible.

Japan — What should I pack for Japan in October?

Accepted Answer

Early-mid October in Tokyo/Kyoto/Osaka is mild — expect 15-23°C, cooling in the evenings. Pack layers: light jacket, a couple of long sleeves, comfortable walking shoes (you'll walk 10-15km some days), and a light rain jacket since October sees occasional showers. Don't forget a portable charger and a foldable tote for shopping hauls.

Japan — What's the actual budget I should plan beyond the edition price?

Accepted Answer

The edition price (JPY 355,841) covers stay, activities, and internal logistics — not flights, visa, or personal spend. Budget roughly JPY 40,000-50,000 for extra meals/drinks, JPY 15,000-20,000 for shopping (Akihabara & Harajuku will tempt you), and JPY 5,000-8,000 for a local SIM. International flights from India typically run INR 35,000-55,000 round trip depending on when you book.

Japan — Do I need a visa for Japan, and how much does it cost?

Accepted Answer

Yes, Indian passport holders need a Japan visa. For this trip it's a standard tourist visa (category 2), costing INR 3,000. ExCo will guide you on document collection, but you'll need to apply in advance through the Japan Embassy/VFS — start at least 4-5 weeks before departure to be safe.

What if I'm waiting on visa results when payment is due?

Accepted Answer

If you've confirmed for your edition and applied for your visa but are still waiting on results, you can make a partial payment of 30% and settle the balance once the visa is approved. If the visa is rejected, ExCo deducts 20% of the amount paid and the rest is credited to a future edition. If your visa status remains uncertain 31 days before the edition, you can either reschedule to a future edition free of charge, or hold your spot — in which case the 50% advance becomes non-refundable regardless of the outcome.

Question 22

What if I have a prior visa rejection?

Accepted Answer

A prior rejection (US, UK, Schengen, or otherwise) doesn't automatically disqualify you, but it does mean we'll spend more time on documentation. Flag it during the application — our visa team has a separate intake for travellers with prior rejections so you get an honest read on your odds before you commit financially. Note: passports must remain valid for at least six months beyond the end of the edition.

I'm coming solo — will it feel awkward?

Accepted Answer

About 70% of every edition comes solo. By the second dinner, no one remembers who arrived knowing whom. The whole format — shared villa, shared transport, anchor experiences — is built so groups form fast and naturally.
